Join the O-India Ry Board
Every year between January and May, we hold our Annual General Meeting (AGM). Anyone who accepts the purpose and rules of O-India Ry can apply for membership and participate in board elections to help govern our registered association.
Annual General Meeting (AGM)
When: Annually between January and May (decided by Board)
Who can participate: All registered members of O-India Ry
Board Elections: Chairman elected directly, other positions filled by Board
Notification: Members notified at least 7 days in advance
Decision Making: Each member has one vote, majority decides
Board Officer Positions
The Board consists of a Chairman (elected at AGM) plus 2-8 ordinary members. The Board then elects officers from among its members.
Chairman
Elected directly at the annual meeting to lead the Board of Directors. Has authority to call meetings and represent the association officially.
Key Responsibilities:
- •Lead and chair all board meetings
- •Represent O-India Ry in official matters
- •Sign documents on behalf of the association
- •Provide strategic leadership and direction
- •Call board meetings when necessary
Vice-Chairman
Elected by the Board from among its members. Acts in place of the Chairman when needed and supports overall leadership.
Key Responsibilities:
- •Support the Chairman in leadership duties
- •Act as Chairman when the Chairman is unavailable
- •Assist in strategic planning and decision-making
- •Help coordinate board activities
Secretary
Elected by the Board from among its members. Maintains all official records and handles correspondence.
Key Responsibilities:
- •Record and maintain accurate meeting minutes
- •Handle official correspondence and communications
- •Maintain membership records and documentation
- •Sign documents on behalf of the association
- •Prepare meeting notices and agendas
Treasurer (Fund Manager)
Elected by the Board from among its members. Manages all financial affairs of the association.
Key Responsibilities:
- •Manage association finances and accounts
- •Prepare annual financial statements
- •Handle membership fees and event revenues
- •Sign financial documents for the association
- •Present financial reports to the board

Board Composition
3-9 members (Chairman + 2-8 ordinary members)
Annual period (between AGMs)
Meeting Operations
As needed, called by Chairman or when required by half the board
Absolute majority vote (Chairman's vote decides ties, except in elections)
Authority to Sign Documents
The Chairman, Vice-Chairman, Secretary, or Treasurer can each sign documents on behalf of O-India Ry individually.
Membership & Board Eligibility
- ✓Must be a registered member of O-India Ry
- ✓Accept the purpose and rules of the association
- ✓Current membership fees paid
- ✓Willingness to attend board meetings and fulfill duties
